Remote Deposit Capture

Remote Deposit Capture lets your company deposit paper checks from your own office. You scan the checks at your desk, review the images and totals on screen, and transmit the deposit through Treasury Gateway. No one drives to a branch, and a deposit that finishes transmitting before the cut off is credited the same business day.

The service is part of the treasury management relationship. It is available to business and nonprofit clients that hold a Calder Bank & Trust deposit account and are approved for a remote deposit exposure limit. Who it fits

Companies that receive checks by mail or over the counter and currently make one or more branch trips a week. Medical practices, property managers, wholesale distributors and municipalities are common users.

What you need

A Treasury Gateway login with the Remote Deposit entitlement, Duo Security enrollment for that user, a supported workstation, and a scanner from one of the two configurations below.

What it replaces

The courier run and the deposit ticket. Deposit totals are keyed once at your desk and carried into the deposit record, so the branch teller line is out of the path.

What it does not do

It does not take cash, and it does not process card payments. Cash deposits still go to an office or a night drop. For card acceptance see Merchant Services.

Scanner options

Calder Bank & Trust supports two scanner configurations. A treasury management officer will recommend one based on your monthly item count and how the checks arrive. Most clients under about 250 items a month are placed on the single feed unit. Clients who open a mail batch each morning are usually better served by the multi feed unit, because the difference in handling time is larger than the difference in price.

Workstation Both configurations require a currently supported 64 bit Windows or macOS workstation, a supported browser, a free USB port, and local administrator rights the first time the scanner driver is installed. The current supported operating system and browser versions are listed on Treasury Resources. A workstation shared by several people is fine. Each person still signs in under a personal Treasury Gateway credential.

Scanners may be purchased outright or rented monthly. Rented hardware stays the property of the bank and is returned when the service ends. Purchased hardware carries the manufacturer warranty for one year from the ship date, and the bank will advance replace a failed unit inside that window.

Cut off time and credit

The deposit is credited based on when the transmission finishes, not when you start scanning. A large batch that begins at 6:55 p.m. and finishes at 7:04 p.m. Eastern is a next business day deposit. Cut off times are stated in Eastern time. Offices in north Alabama and other Central time locations should convert.

Ledger credit is not the same as availability. Funds availability follows the schedule in your deposit agreement and in the Remote Deposit Capture Agreement. Holds may be placed on a large item or on a deposit that is out of pattern for the account. When a hold is placed, the notice appears in Treasury Gateway on the deposit record and is mailed under the terms of the agreement.

Deposits transmitted after the cut off cannot be pulled back into the current business day. If a payroll funding or a loan payment depends on the deposit, transmit by 6:00 p.m. Eastern so there is room to correct a rejected item before the cut off.

Items you can and cannot deposit

Item torn through the MICR line, or missing a date or a signature No Remove staples and clips before scanning. An item is only ineligible if the staple has torn the MICR line, because repair is not possible once that line is damaged.

Endorse the back of each item before scanning. The endorsement must read For Remote Deposit Only, Calder Bank & Trust, N.A. followed by the account number. On the multi feed unit the endorsement prints automatically. On the single feed unit use the endorsement stamp supplied at installation. The franking stamp is a separate stamp and is applied after the item is scanned.

Duplicate detection

Every image transmitted is compared against items already presented under your relationship for the previous 90 days. The comparison uses the MICR line, the item amount and the image itself, so a check re-scanned at a second location is normally caught before submission even if the two locations use different deposit accounts. Detection is not absolute, and an item identified after submission is handled as an adjustment.

Duplicate identified after submission Treasury operations reverses the item and posts an adjustment. Watch for the adjustment advice in Treasury Gateway and correct your receivables posting.
Image quality below presentment standard The item is rejected at scan time with the reason shown. Re-scan the item. If it rejects twice, deposit the original at an office.

Duplicate detection protects your company as much as it protects the bank. A customer whose check is presented twice will see two debits, and the resulting research is charged back under the fee schedule below. Clearing every flag before submission is faster than unwinding an adjustment later.

Keeping and destroying the original checks

Once a check is scanned and the deposit is accepted, the electronic image is the item of record. The paper original is still a live negotiable instrument until it is destroyed, which is why the agreement sets both a retention window and a destruction requirement.

Store the original items for 14 calendar days, counted from the business day the deposit is credited.
Storage condition
A locked drawer, cabinet or container. Access limited to the people named on your remote deposit user list.
Marking
Each scanned item must be franked or stamped so it cannot be picked up and deposited a second time by mistake.
Destruction
Destroy by cross cut shredding on or after day 15, counted from the same credit date, and no later than 60 days after that date.
Destruction record
Log the deposit date, the item count and the destruction date. Keep that log for 12 months.
Retrieval during the window
If the bank or the paying bank needs an original, treasury support will contact you. Do not destroy an item that is under research or subject to a claim, even if the retention window has passed.

The 14 day window exists so that a return, an adjustment or a quality question can be settled against the paper. Holding originals longer than the agreement allows is a common finding in remote deposit reviews, because a stack of endorsed checks in an open tray is a loss waiting to happen.

Users, limits and controls

Access is granted inside Treasury Gateway by your company administrator. Every remote deposit user authenticates with Duo Security at sign in. The bank does not create or reset a user for you, and no one at Calder Bank & Trust will ask for a Duo passcode.

If a limit is blocking a legitimate deposit, call treasury support before the cut off. A temporary increase can usually be handled the same business day when the reason is documented. Guidance on payment controls and on verifying instructions before you send money is on Treasury Security.

Fees are billed monthly to the analysis account on the relationship and appear on the account analysis statement. Fees below are effective March 1, 2026 and may be changed on 30 days written notice as provided in the agreement.

Earnings credit may offset some or all of these fees depending on collected balances. Your treasury management officer can run the analysis against your current balances before you sign. Rates on deposit and lending products are published on Rates.

How the service is put in place

Implementation is handled by a treasury management officer and a treasury implementation specialist. Nothing ships before the agreement is signed and the exposure limits are approved.

Adding a second location later does not repeat the credit review. Your officer adds the location to the existing agreement, hardware ships, and the specialist trains that site.

A normal deposit day

  1. Remove staples and paper clips, square the batch, and endorse if you are on a single feed unit. Staples cause jams and can tear the MICR line.
  2. Enter the batch control total from your adding machine tape before scanning. The system compares your total to the captured total and shows the difference immediately.
  3. Scan, then correct any item where the amount was read incorrectly. Handwritten amounts on personal checks are the usual correction.
  4. Clear every duplicate flag and every image quality warning. The batch will not submit while a flag is open.
  5. Submit, then confirm the deposit shows a confirmation number and a matching total. A batch left in an open status was never sent to the bank.
  6. Frank or stamp every scanned item if you are on a single feed unit. An unmarked scanned check can be picked up and deposited a second time by mistake.
  7. File the paper batch with the credit date on the band, in the locked container. This starts the 14 day retention clock and keeps destruction on schedule.
  8. Shred any batch whose credit date is 15 or more days ago and record the destruction. Endorsed originals sitting past the window are an avoidable risk.

Questions we get

Can two locations scan into the same account?

Yes. Each location gets its own scanner and its own users, and the deposits post to whichever accounts your administrator has entitled. Duplicate detection runs across the whole relationship, so an item already presented from one site is flagged when a second site scans it. If a duplicate is identified after submission it is reversed by adjustment.

What happens if the scanner jams in the middle of a batch?

Nothing is lost. The batch stays open with the items captured so far. Clear the jam, re-feed the remaining items, and the control total will tell you whether anything was missed.

A check was returned unpaid. Can I scan it again?

No. Call treasury support at (423) 555-0142 first. Whether a second presentment is possible depends on the return reason, and re-scanning a returned item without checking creates a duplicate case.

Do I still need deposit tickets?

No. The deposit record created at submission carries the item count and total. Keep your adding machine tape with the paper batch until the batch is destroyed.

Can I deposit a check made out to my company at an office instead?

Yes. Remote deposit does not restrict branch or drive-up deposits. Hours vary by office, so check Locations for the office you use.

Our volume is very small. Is there a simpler option?

Talk to your treasury management officer. For a very low item count the monthly service fee may not be worth it, and a branch or drive-up deposit may be the better answer. Who supports the scanner if it stops working?

Treasury support handles it. If the unit is under warranty or rented, a replacement is shipped and the failed unit goes back in the same box.

Can we run it on a computer that also runs our accounting software?

Yes. The scanner driver runs alongside other applications. The only requirement is local administrator rights at first install and a free USB port after that.

Deposit agreement and funds availability

Remote Deposit Capture is governed by the Remote Deposit Capture Agreement, the treasury services agreement and the deposit account agreement, and those documents control if anything on this page differs from them. Ledger credit described above is not a guarantee of availability. Funds availability is determined under our funds availability policy, and a hold may be placed on a deposit consistent with that policy and applicable law. Deposits are subject to verification and to later adjustment for encoding, amount or item errors. Enrollment requires approval, including a credit review, and approved deposit limits are stated in your agreement.

Fees

Fees shown are effective March 1, 2026 and apply to business and nonprofit accounts enrolled in Remote Deposit Capture. Fees are billed monthly to the designated analysis account and may be offset by earnings credit. Fees may be added or changed on 30 days prior written notice as provided in your agreement. Other account fees may apply under the schedule published at Disclosures. Hardware purchase prices do not include applicable sales tax.

Original items and customer responsibilities

You are responsible for the security of original checks between capture and destruction, for destroying them within the window stated in your agreement, and for not presenting any item more than once by any channel. You are responsible for the accuracy of the images and data you transmit and for maintaining the confidentiality of your Treasury Gateway credentials.
